GymSense ("we", "our", or "us") is operated by GymSense Technologies. We are committed to protecting the personal data of gym owners, their staff, and gym members who interact with our platform. This Privacy Policy explains what data we collect, how we use it, and your rights under the Digital Personal Data Protection Act, 2023 (DPDPA) and other applicable Indian laws.
By using our website at gymsense.in or our SaaS platform at app.gymsense.in, you agree to the practices described in this policy.
2. Data We Collect
We collect the following categories of personal data:
- Gym Owner / Admin Data: Name, email address, phone number, gym name, and gym address — collected when you register for a trial or contact us.
- Gym Member Data: Name, contact details, membership plan, payment history, and check-in logs — entered by gym owners into the platform on behalf of their members.
- Usage Data: Pages visited, features used, browser type, IP address, and device information — collected automatically via cookies and server logs.
- Payment Data: Subscription billing information processed through our payment gateway. We do not store full card details on our servers.
3. How We Use Your Data
- To create and manage your GymSense account and subscription.
- To provide, operate, and improve the platform.
- To send transactional emails (login credentials, renewal reminders, invoices).
- To respond to support requests and inquiries.
- To analyse usage patterns and improve product features.
- To comply with legal obligations.
We do not sell your personal data to third parties. We do not use gym member data for any purpose other than providing the service to the gym owner.
4. Data Sharing
We share data only with trusted service providers who help us operate the platform:
- Cloud Hosting: Our servers are hosted on cloud infrastructure. Data may be stored on servers located outside India; in such cases we ensure adequate contractual protections are in place.
- Email Services: Transactional emails are sent via a third-party email provider.
- Payment Gateway: Subscription payments are processed by a PCI-DSS compliant payment gateway.
- Analytics: We may use analytics tools to understand website usage.
All third-party processors are bound by data processing agreements and are prohibited from using your data for their own purposes.
5. Data Retention
We retain your account data for as long as your subscription is active and for up to 90 days after account closure, to allow for reactivation or dispute resolution. After that period, data is permanently deleted. Gym member data is retained as long as the gym's account is active. You may request earlier deletion at any time.
6. Your Rights
Under the DPDPA and applicable law, you have the right to:
- Access the personal data we hold about you.
- Correct inaccurate or incomplete data.
- Request deletion of your data ("right to erasure").
- Withdraw consent for data processing where consent is the legal basis.
- Nominate a person to exercise these rights on your behalf.

7. Cookies

GymSense is not directed at children under 18. We do not knowingly collect personal data from minors. If you believe a minor's data has been submitted, please contact us and we will delete it promptly.

We may update this policy from time to time. When we do, we will update the "Last updated" date at the top and notify active subscribers by email for material changes. Continued use of the platform after changes constitutes acceptance of the updated policy.
